How to choose ABA practice management software
How to choose ABA practice management software comes down to testing the same fictional child’s week in every product you shortlist: book recurring sessions, record trial data through a dropped connection, amend the plan, check the funding balance and send an invoice. The right fit is the product that handles your clinic’s hardest real week with the fewest workarounds, whatever its feature list says.

A six-step demo checklist
Run the same steps, with the same fictional child, in each demo. Score what the vendor shows you, not what it describes.
- Book a recurring series with a named clinician and room, then check which dates were created and which were skipped.
- Record ten trials with prompt levels, turn off Wi-Fi part-way through, reconnect and confirm the session saved once.
- Amend the treatment plan and check that earlier sessions still show the plan version they ran against.
- Have a supervisor review and publish the technician’s note.
- Enter a funding period, invoice the session and check the used and remaining balance.
- Invite a fictional guardian and confirm exactly what they can see.
Questions to ask every vendor
Ask for the answer in writing, and check it against the vendor’s own published list of what the product does not do.
- Does it submit claims to the payers you bill, or does it produce invoices and receipts only?
- Where is client data stored, and which providers process some of it elsewhere?
- Is pricing counted per clinician, per client or per location, and what costs extra?
- Can you export your records if you leave?
- Does it serve your province and the language your team works in?
Worked example: two clinics, two different answers
A fictional one-location Ontario clinic serves mostly families paying with Ontario Autism Program funding. It needs funding balances per child and clear invoices and receipts families can report, so funding tracking matters more than claims. A second fictional clinic bills an insurer electronically for most sessions. For that clinic, claims submission decides the shortlist, and a product without it is the wrong fit however good its session screens are.
Where TherapyCRM fits
TherapyCRM suits owner-run and multi-location ABA clinics in Canada outside Quebec, including teams that also offer speech or occupational therapy. Essential covers one location and Growth covers more than one; both include every feature, unlimited users and unlimited clients, with current prices on the pricing page.
TherapyCRM serves practices in Canada outside Quebec, in English only. It does not submit insurance or government claims, including Ontario Autism Program claims, and has no telehealth or video visits. Its Family and Kiosk apps are for iPhone and iPad. It is practice management software with a clinical record, not a physician EMR, has no EMR certification and holds no privacy or security certification.
