How to use this tool

Use this clinical supervision calculator to track direct therapy hours, supervision hours and supervision percentages against your declared clinic target.

• Set the review period label, declared target supervision percentage and maximum group share percentage.
• Enter each supervisee’s direct service hours, individual supervision, group supervision, client-present hours and contact counts.
• Compare observed supervision ratios with target thresholds and review remaining hours needed before exporting.

Fictional example: 80 direct service hours with 4 individual and 2 group supervision hours totals 6 supervision hours (7.5% supervision ratio), exceeding a 5% target.

The calculation tests entered hours against your declared targets. It does not certify regulatory, credentialing or payer supervision compliance.

Track supervision ratios across direct service hours

Enter direct service hours and completed supervision hours for each supervisee or technician. Supervised percentage equals total supervision hours (individual plus group) divided by direct service hours in the review period.

Supervision contacts and client-present observations represent distinct quality safeguards. Group supervision hours are compared against your declared maximum group percentage. Client-present observation hours cannot exceed total supervision hours.

This tool calculates arithmetic ratios and hours remaining to meet user-entered targets. It does not certify compliance with BACB, college, Medicaid or payer supervision rules, which vary by jurisdiction and credential.

• Enter positive direct service hours for each supervisee in the declared review period.
• Individual and group supervision hours combine to form total supervision.
• Hours with client present must be less than or equal to total supervision hours.
• Completed observations cannot exceed completed supervision contacts.

What to enter in each field

• Review period label: Name the declared review period, such as October 2026 or month 1. Keep all hours within this period.
• Declared target supervision (%): Your declared target supervision percentage, such as 5% or 10%. Used to calculate remaining hours needed.
• Declared maximum group share (%): Your declared maximum allowable group supervision percentage, such as 50%. Group share is compared to this.
• Anonymous supervisee ID: Anonymous supervisee or staff ID, such as Technician 1. Do not enter client names or personal data.
• Program / discipline: Program or discipline name, such as Comprehensive ABA or Speech. Groups stay distinct by program.
• Direct service hours in period: Whole or decimal hours of direct therapy or client service delivered by this staff member in the period.
• Individual supervision hours: Hours of one-on-one individual clinical supervision completed with this staff member in the period.
• Group supervision hours: Hours of interactive group clinical supervision completed with this staff member in the period.
• Hours with client present: Hours of supervision conducted with a client present during direct session delivery. Cannot exceed total supervision.
• Supervision contacts count: Whole count of discrete synchronous supervision meetings or sessions held during the review period.
• Client-present observations count: Whole count of supervision sessions that included direct observation of client service delivery.
