Record and synchronize an offline ABA session

Open Session Runner while connected and keep the loaded page open if the connection drops. Watch its on-device save status as you record, then reconnect to synchronize the completed session. Offline drafts and queued submissions stay in that device’s browser; they are not in the practice record until the server accepts them.

Prepare the session while connected

Use a staff account with permission to manage clinical records and access the plan. The plan must be active, with active goals and configured collection sheets. Session Runner is in the web application on a tablet or computer; this guide does not require a separate clinician app.

  • 1. Connect to the internet, sign in, open the treatment plan and select Start session.
  • 2. Wait for the session’s client, plan and collection sheets to load. Check the Setting and the fields your practice requires before recording.
  • 3. Confirm that the browser can save on this device. Practise the outage and synchronization steps using fictional data before relying on a device in a real visit.

Keep recording on the loaded page

When connectivity drops, Session Runner shows Offline. Entries and session-note content save automatically as an encrypted device draft. Wait for Offline · Saved on this device rather than assuming a changed field has already been saved.

  • Keep the loaded Session Runner page open during the outage. A cold reopen needs a connection to reload the application, sign-in and treatment-plan context.
  • Save draft & leave protects unfinished work on the device when the save succeeds. Reopen the same session with the same account and browser after reconnecting to recover it.
  • Save note draft requires connectivity to put a draft in the client’s Notes tab. During an outage, the note remains part of the device draft.

End the session and verify synchronization

Ending a session while offline is a device save, not a server receipt.

  • 1. Select End session, review the collected sheets and note, then select Save session.
  • 2. If offline, confirm Session saved on this device. Keep that device and browser available for synchronization.
  • 3. Reconnect. Session Runner retries queued submissions while it is running; use Sync now or Try synchronization when the connection is available.
  • 4. Wait for Session saved or Session already synchronized. Then review the saved session in the practice record. A queued count or device-save message alone is not confirmation.
  • 5. Review and finalize any saved session note through the normal signing workflow. Saving the session leaves its note as a draft.

Handle a save or synchronization warning

If Could not save on this device appears, keep the page open and use Retry draft save. If a saved draft cannot be loaded, follow the recovery message before collecting new entries so you do not overwrite existing work.

  • Sign in again: renew authentication, reopen the same session context and retry synchronization.
  • Session protected — review needed: a goal, template, appointment, intervention or equipment context may have changed, or the submission may need correction. The device copy is retained; ask the authorized clinical lead or support to review the displayed reference.
  • Details for support gives an operation reference, attempt count and any error code. Share those references first, without copying client data into an initial support email.
  • Do not re-enter a held session as a new submission merely to bypass the warning. Retrying the existing operation is designed to avoid duplicate records.

Protect the device copy until it reaches the server

The encrypted draft and queue are tied to the practice, signed-in staff account, plan and any linked appointment in that browser. They are not a backup on another device. Clearing site data, a disposable private-browsing session or losing the device can remove unsynchronized work. A supervisor cannot review that work in the practice record before synchronization.

  • A retained draft can restore after reconnecting and loading the same session context; it does not guarantee that Session Runner will cold-start while offline.
  • Do not clear browser storage or select Discard draft to resolve a synchronization error. Discard draft deliberately deletes the local draft after confirmation.
  • Use the practice’s device policy and planned fallback if the device cannot keep recording. Test the specific sheets and scoring rules configured for the session.

Frequently asked questions

Can I open a new Session Runner session without internet?

Load the session while connected. Its page, authentication and treatment-plan context are needed from the server. The loaded page can keep recording through an outage; encrypted device storage alone does not let it cold-start offline.

Does Saved on this device mean the supervisor can see it?

No. The draft or queued submission is on that device and browser. Reconnect and verify Session saved or Session already synchronized, then check the practice record.
