Release notes

New features, improvements and fixes in each TherapyCRM release.

v1.0.51 ·

record a check-in or check-out for an earlier time

When a visit happened but nobody recorded it at the time, staff can now check the client in and out with the real date and time instead of the current moment, so attendance stays accurate for visits recorded later in the day or on a later day.

New features

  • Check in at… and Check out at… on the appointment attendance card: pick the date and time (defaults to the visit start and end) and save. Times are entered in the calendar timezone.
  • The same options are available for each child in a group appointment from the Update attendance dropdown.
  • The assistant can record an earlier check-in or check-out when asked for a specific date and time.

Improvements

  • A check-in cannot be in the future or more than two hours before the visit start; a check-out must be after the check-in and cannot be in the future. The form explains the rule and the server enforces it.
  • The calendar refreshes as soon as a check-in or check-out is saved from the appointment dialog.

Bug fixes

  • After checking out from the appointment dialog, the calendar card kept showing the previous status until the week was reopened.

v1.0.50 ·

automatic no-show setting and no-show revert

Each practice now decides whether visits with no check-in are marked as no-shows automatically, and how long after the start time that happens. Any no-show, automatic or manual, can be reverted from the appointment so attendance recorded late in the day stays correct.

New features

  • Scheduling Settings gains an Automatic no-shows card: turn automatic no-show marking on or off for your practice and choose how many minutes after the start time it applies (5 to 1,440; default 30).
  • Revert a no-show from the appointment: group appointments offer Revert no-show for each participant and individual appointments offer it on the attendance card. The visit returns to Scheduled so it can be checked in, cancelled, or marked correctly.

Improvements

  • A reverted visit is never marked as a no-show automatically again; a deliberate manual no-show remains possible.
  • Reverting a no-show sends no message to the client, guardians, or staff; the follow-up action carries its own communication.
  • Changing an individual appointment from No Show back to Scheduled in the edit form is treated as the same revert.

Bug fixes

  • Group participants marked as no-shows could not be changed afterwards; the per-participant control is now available for them.
  • The appointment attendance card did not offer Check In when no attendance record existed yet; it now does.

v1.0.49 ·

reliable client selection

Client selectors load a complete, consistent list when records are added or changed at the same time. Existing practice, branch and role permissions continue to control which clients appear.

Improvements

  • Appointment and billing client selectors load their choices in one request.

Bug fixes

  • Prevent missing or duplicated client choices when the client list changes while a selector is loading.
  • Reject incomplete client lists with a retryable error instead of showing partial choices.

v1.0.48 ·

a welcoming arrival and a clear end to the day

A shared-device attendance experience with client name and birthday filtering, clear arrival and pickup confirmations, staff shifts and breaks, and personal-PIN protected kiosk settings. Mobile apps are distributed separately from this web and API release.

New features

  • Mobile apps: TherapyCRM Attendance brings matching branded client and staff screens to iPhone and iPad, with large character tiles, name pronunciation and reduced-motion support
  • Offer clients with an appointment today or an active visit, and progressively filter only the name letters or birthday choices that match the current roster
  • Record client arrivals, checkout and optional pickup details, with attendance history available to authorized staff and guardians
  • Staff can use name plus PIN, birthday plus PIN or a rotating QR flow to record work, breaks and checkout

Improvements

  • Owners, administrators and permitted managers use their personal attendance PIN for protected kiosk settings
  • Choose enabled client and staff methods and a valid default, with safeguards that keep at least one method available
  • Staff can reset an enabled attendance PIN from their profile after confirming their account password
  • Large-text layouts keep client choices, staff cards, PIN entry and QR controls readable across phone and tablet sizes
  • Retired documentation is organized in an archive and unused components are removed

Bug fixes

  • Invalid staff birthdays show readable guidance instead of raw validation JSON
  • Native connection failures preserve the encrypted roster and queued arrival across restart, then replay once on reconnection
  • Client attendance history correctly reads paginated API responses
  • QR and settings controls share the staff toolbar without adding an extra row

v1.0.47 ·

session notes within reach

Capture and save session notes while collecting data, then review and sign them through the document workflow. This release also improves desktop layouts, save recovery, document status updates, search and validation.

New features

  • Write quick session observations and optional SOAP sections alongside data collection without stopping the session
  • Save note draft adds the note to client Clinical notes while the session continues; saving again and ending the session update the same note
  • Encrypted device drafts recover session entries after refresh and keep notes available while offline; completing the session queues them for synchronization
  • Review session notes explicitly before ending; finalization, approval and signing remain separate steps

Improvements

  • Compact desktop session notes panel with independent scrolling keeps session actions beside collected data
  • Clear device-save and client-note-save status, with a direct link to client notes
  • Clinical notes is the collection name, while individual session, progress and SOAP notes keep their specific names
  • Completed document workflows display Published; individual signature records still show who signed
  • Red action buttons are reserved for deletion and removal; discharge, cancellation, archive and deactivation actions use neutral styles
  • Validation summaries show missing fields by section and link to the fields that need attention

Bug fixes

  • Fixed stale document and review screens after finalizing, returning, resubmitting or signing a note
  • Returned documents show the reason for requested changes on their edit screen
  • Concurrent note edits retain local text and explain the conflict instead of overwriting newer changes
  • Session-note retries and session completion reuse a saved draft instead of creating duplicate notes
  • Fixed offline session completion waiting on connectivity instead of protecting the submission in the local queue
  • Staff directory search matches full names across first and last name fields
  • Invoice save failures retain entered values for retry, and unsaved invoice changes are protected on exit
  • Scheduling readiness uses the intended practice, date and appointment scope and offers retry and correction links
  • Fixed registration navigation back to pricing and added accessible labels to document action menus

v1.0.46 ·

bring your practice data in, book group sessions

TherapyCRM 1.0.46 introduces the Data Import workspace, which brings your existing spreadsheets and documents into TherapyCRM as reviewable records — not only clients, staff, plans and appointments but the records that hang off them: emergency contacts, diagnoses, funding, consents, certifications, schedules, plan reviews, goal details and lead follow-ups. It adds group appointments, where one therapist sees several children in one time slot while each child keeps their own visit, and a practice-wide consistency pass that protects unsaved work, tells you plainly when something failed to load, and makes the application usable on a phone.

New features

  • Data Import workspace: upload spreadsheets (CSV, TSV, Excel), PDFs, Word files, scanned pages or pasted text, then review everything on one full-width screen before anything is written
  • Import across modules: clients and guardians, enquiries, staff, billable services, appointments with their session notes, treatment plans and goals, invoices and payments
  • Import client records in depth: emergency contacts, diagnoses, service enrolments, funding enrolments and adjustments, packages, custody, consents and assents land on the right client
  • Import staff records in depth: certifications, weekly schedules, availability exceptions, leaves, time tracking, emergency contacts and rotation-group membership
  • Import treatment plan detail: plan reviews, treatment schedules, service delivery, and goal conditions, data sheets, interventions and equipment links
  • Import lead follow-up: communications, tasks and consultations attached to the right enquiry, plus reference data such as lead sources, lead statuses, rotation groups, funding programs and package definitions
  • Automatic column mapping with a per-sheet mapping panel you can correct, re-mapping or re-extraction of a single sheet, and a review grid with sticky columns, quick per-row fixes and Save and next
  • Checks before you commit: duplicates against existing records and within the import, missing or ambiguous links, and per-module rules, each shown on the row it affects; rows that need attention can be held back
  • Group appointments: book one therapist with several children in one time slot, with room, capacity and equipment; each child has their own visit, attendance and notices
  • Manage a group in place: edit the group, add or remove children, check in, mark a no-show or cancel one child without touching the others, or cancel the whole group
  • Treatment plan document, text and CSV imports now open in the Data Import workspace with the branch and module preselected
  • Create a new client schedule from the scheduling page, with an opt-in to include draft treatment plans while planning
  • Searchable Practice Settings with plain-language synonyms, and a command search that is available on phones

Improvements

  • Unsaved changes are protected on every exit: menu links, the command palette, browser Back and Forward, closing an editor, and leaving the page
  • When something fails to load you now see that it failed, with a retry, instead of an empty list, a zero total or an apparently active setting
  • Phone layouts: client intake and edit sections no longer overlap, page headers and tabs wrap, the week calendar scrolls within its own area and the phone calendar opens on Day view
  • The mobile navigation drawer traps focus, closes with Escape and returns focus to the menu button; hidden controls are no longer reachable by keyboard
  • Photo upload and field help work by keyboard and touch; validation summaries take you to the section and field that needs fixing
  • Amounts always show which currency they are in, using the invoice, report or practice currency; reports and exports carry the currency and refuse to add up unlike currencies
  • Legacy CSV imports on the Clients, Leads and Treatment Plans lists validate first and require an explicit Import step, with every row error shown on screen and downloadable
  • Lists and tabs keep their place in the address bar, the parent menu item stays highlighted on a record, and browser tabs are named after the module
  • The client portal sign-in explains how to recover access and works with password managers
  • A client's date of birth starts masked; revealing it is an explicit action for staff who may edit the client, and each reveal is recorded
  • A consistent layer order for the header, drawers, dialogs and menus, a readable destructive button colour, and shared status badges across modules
  • Import review: pickers for fixed-choice fields, clearer labels for records that come from the same import, and an aligned imports list
  • Monthly import allowance with a visible estimate of what an import will consume before it runs, and progress per file, sheet and page
  • Faster continuous integration and browser qualification, so releases wait less

Bug fixes

  • Fixed imported lookup columns such as diagnosis codes, rotation groups and goal titles being dropped instead of matched to the right record
  • Fixed a staff emergency-contacts sheet being read as client emergency contacts
  • Fixed imported records staying unmatched when the parent already existed and was also present in the import; accepting the parent now settles its children
  • Fixed accepting a staff member as an update failing because of the roles column, and a plan with no therapy type refusing its imported service delivery
  • Fixed imported consents being reported as a permission problem instead of the custody rule that applied
  • Fixed dates and times losing their time of day, or being read in the wrong order, when imported from a spreadsheet
  • Fixed an interrupted import being unable to resume, and a retried step creating a duplicate record
  • Fixed a single failing sheet or file ending the whole import instead of just that sheet
  • Fixed the group appointment card overflowing its calendar column and a cancelled child still counting as a client of the appointment
  • Fixed the failed-load state of the leads pipeline, notifications and clinical workflow settings presenting as valid data
